This is where every project should begin. The user can identify the project, identify and list all the contacts, entering in any new data, or importing contacts, from other projects. The user is introduced to the Project Wizard, which walks the user through setting up a new project. Summaries, charts and search menus will be activated. Here is where security-setting are selected. Compounding all data entered, FIVE allows to sort, constrain, and graphically present data, so by close out, there is a rich database of project information available for statistical information and performance analysis.
-
In this module, FIVE icon/buttons are explained and where to find them. The change process in FIVE uses five Tabs. Requests Tab, Instructions Tab, Notices Tab. Quotes Tab and Orders Tab. Many definitions are also given here. Each Tab is introduced and how to enter data, with special instruction on how to do a site instruction.
-
Explains the importance of budgets. Outlines the 4-step process, to create Certificates of Payments painlessly. How the Budgets Tab, Breakdowns Tab, Progress Items Tab and Certificates of Payment Tab, work together, in FIVE.
-
There is a brief examination and discussion about the practice of architecture. Two Tabs are working in tandem. Reviews Tab can generate a Reviews Form, in its own right and can combine the Review Items Log, from the Review Items Tab, into a single document.
The Review Items Tab, is where a log/list entries are done. The benefit of this methodology is that everything in Reviews Tab and Reviews Items Tab is fully searchable and can be sorted and constrained. There is also notes on Attachments. -
Again, two tabs, working together.
Submittals Tab and Submittal Items Tab, log/list all emails and attachments, with pertinent additional information, to let the user know exactly what documents are with whom and when they should have been responded to. Allows linking of items. And how to enter data, to track both in-house or third party reviews.
-
There are two Tabs, in FIVE’s digital filing cabinet to store all other general documents. Examples: letters from the building department, fire department or public works, in the Correspondence Tab. The Sketches Tab is the place to store all the drawings related to the project. Digitally store the Permit Set, Tender Set and Contract Set, making them readily available for review as needed.
-
Allowance and Contingency, are terms often used interchangeably and further, applied badly, in Contract Admin. In this module, FIVE defines the terms and how each is applied to FIVE. Followed by simple how to enter data.
FIVE – Fundamental Principles
• FIVE treats Budgets separate from Contracts.
• Allowances + Contingencies are treated individually, from each other and from Change Orders.
• There are three types of Holdback:
a) Legislative Lien Act, etc. Holdback
b) Contractual, Client imposed Holdback
c) Discretionary, Deficiencies, etc. Holdback
FIVE has been structured, so processes are similar in function, across Tabs, for intuitive UX.
Best practice requires:
• a Pre-Tender Budget
• a user cannot process any amount, unless it has been approved
• a user cannot process any amount over 100%
